About The Role

Personal Assistant duties include but not limited to:
Acting as the confidential and first point of contact to the senior leadership team; providing a high-level administration service which will include organising and running diaries and fast-moving schedules using discretion to prioritise meetings and calendars.

Minute-taking and producing documentation in a timely manner and drafting correspondence in relation to standard requests etc.

To act as ‘front of house’; undertaking activities such as filtering telephone calls, receiving documents, correspondence, and messages, and responsible for ensuring information is forwarded to the appropriate Senior Leader in an efficient and timely manner.

Booking and arranging travel, transport, and accommodation. Ensuring details are communicated and shared ahead of time.

To be responsible for diary management including arranging multiple diaries, scheduling of meetings, planning and preparations of events,

To produce/prepare documentation in a variety of formats including Word, Excel, PDF, PowerPoint, and other reports including confidential material.

Provide a professional, supportive, and customer-oriented service to support wider Senior Leadership Team; acting as the first point of contact for visitors, stakeholders and customers in the Gloucester and Leeds office.

Liaise with and proactively collaborate with the PA team to ensure the team gives the best possible service.

Assist fellow PAs with their workload in busy times and provide cover in instances of absence.

Raise invoices, purchase orders, collate and file expenses when necessary.

Arrange room bookings, organise hospitality as required.

Ensure that the appearance of the office is tidy and well organised.

Be responsible for ensuring that agendas/documentation are prepared sufficiently in advance for meetings and that minutes are accurate. Responsible for the dissemination of information either in advance or after the meeting and for following up actions directly with those who have been assigned actions, to ensure that agreed next steps are carried out in a timely manner.

Organise and prioritise work efficiently to ensure smooth running of the office on a day-to-day basis, including identifying opportunities to improve administrative procedures and taking the initiative to suggest ways of working more efficiently.

Essential

The successful candidate will demonstrate the following:
Proven work experience as a Personal Assistant or similar role within a fast-paced environment.

Educated to at least A-Level standard or equivalent

Discretion and trustworthiness: you will often be part of confidential information

Excellent oral and written communication skills

Organisational skills and ability to multitask

Ability to be proactive and take the initiative

Confident, self-starter with a positive attitude and approach

Flexibility and adaptability

Excellent attention to detail is critical

Ability to prioritise effectively and work to deadlines

Confident working in a high volume, ever-changing environment

Strong interpersonal skills, together with a positive, professional manner and the ability to deal confidently with people at all levels

Confident working with office management systems, ERP’s and MS Office

Role Mission

We have an exciting Maternity cover role providing proactive and highly organised PA to support to our senior leadership team in a timely and professional manner. You will provide high-quality administrative and clerical assistance to the senior leadership team. You will join a fast-paced team who’s main duties include scheduling meetings, making travel arrangements and addressing the needs of senior managers, performing a variety of administrative tasks.
